AI chatbot pricing takes four shapes: per seat, per conversation, per resolution, or a flat rate. The headline price rarely matches the bill, because many tools charge a base plan and then charge again for the AI. Small business tools generally land between $15 and $150 a month once everything is added up.
The four models
- Per seat. You pay for every team member with a login. Predictable if your team never grows, expensive if it does. Common on support platforms.
- Per conversation. You pay for a bundle of customer threads per month. Matches how the value actually arrives, and is easy to forecast if your volume is steady.
- Per resolution. You are charged each time the AI successfully handles something. It sounds fair and can get expensive fast, because success is the thing you want more of.
- Flat rate. One price whatever the volume. Best when your traffic is spiky or very high.
The add-on trap
Several well-known tools advertise a low monthly price for the chat product and sell the AI separately. You end up paying the base plan plus an AI add-on metered by conversation, and the real total can be double the advertised figure. When comparing, always price the combination you would actually buy, not the cheapest line on the pricing page.
Questions that change the number
- Does the price include the AI, or is it an add-on?
- Is there a per-seat charge, and does it apply to people who only read?
- What happens when you exceed the plan: are you billed automatically, or does it stop?
- Is there a minimum monthly charge underneath the usage pricing?
Question three matters more than people expect. A tool that bills overage automatically can produce a surprise invoice after one busy month. A tool that pauses instead caps your risk, at the cost of pausing replies.
