WhatsApp automation means letting software send and answer WhatsApp messages for your business, so customers get a reply without someone typing it. It ranges from a fixed away message to an AI agent that answers questions, quotes prices and follows up on its own.
Three levels of WhatsApp automation
- Built-in replies in the WhatsApp Business app. The free app has a greeting message, an away message and quick replies. They send the same text to everyone, whatever the customer asked. Useful on day one, and free.
- Rule-based chatbots. A menu of numbered options ("reply 1 for prices"). They handle predictable questions and break on anything off-script.
- AI agents. An AI model reads the actual message, checks your price list, and answers it. It can also follow up later, send a payment link, or hand the chat to you when it should not answer alone.
What you need for anything past the basic app
The WhatsApp Business app can only automate its own greeting and away messages. Anything that replies with different answers, or sends messages on a schedule, runs on the WhatsApp Business API, usually through a provider that connects your number for you. A number on the API can also keep working in the phone app, so you do not lose your chat history.
Avoid unofficial tools that automate a normal WhatsApp account, such as modified apps or browser extensions that send in bulk. They break WhatsApp's terms, and the usual result is a banned number.
What to automate first
- The first reply. Most sales are lost in the minutes after a customer asks a question. Answering straight away, day or night, is the change owners notice first.
- The follow-up. A customer who asked about a product and went quiet gets one message a day or two later, naming what they asked about.
- After the sale. A feedback ask, then a review request for happy customers, then a referral ask.
- Old customers. A scheduled campaign to people who have not bought in months.
Where the website fits
The same agent can answer on a chat widget on your website. That part needs no WhatsApp approval at all, so many businesses start there and add WhatsApp once their number is connected.
